How to provide fascia name?

Please fill the form below to provide fascia name for your booth and return it by February 23, 2023 to thitraphak.pha@nccimage.com.

Shell scheme rules

  1. Exhibitors are not allowed to place any display materials or exhibits, nor extend their stand structures and fittings, beyond their contracted boundary
  2. Do not move any addition or any change to the standard shell scheme. Should you wish to do so, please contact official stand contractor for further action.
  3. Do not spray, glue or silicone on the wall panel. Do not paint, spray-paint, or write on the wall panel.
  4. Do not drill, nail, perforate, tack down, staple or cause any damage to the panels or any parts of the standard shell scheme. Should you need to affix any exhibit or sign to the wall, please contact our operation staffs.
  5. Exhibitors cannot use 2 side foam tape or material paste or stick or any hole on the panels for advertising. However, 2 sides carpet tape is allowed for the carpet.
  6. In case of violation of the above rules, official contractors will be obliged to request the payment from exhibitor for any damage caused at the rate of THB 2,000/panel.

Panels

Companies may order inkjet printing to customize the white wall panels of their shell scheme booths. Please fill out the form below and return to thitraphak.pha@nccimage.com by February 23, 2023.

Security

Exhibitors take full responsibility at all times to guard the items on their booth (including set up and dismantling period).

General security will be provided by the organizer around the clock. Exhibitors and their staffs will not be allowed in the exhibition hall before/after official hours. All personnel in the exhibition halls must wear badges at all times.

To avoid any loss or damage, exhibitors with small exhibit items are strongly recommended to carefully pack their items in proper packages/boxes at the end of each show day. If your displays are very valuable or sensitive and you wish to hire security personnel to attend to your stand exclusively for out-of show hours, please contact official security company. Please note that companies must not use their own staff or personnel from any other security agency. It is possible to book additional security for your booth through NCC. Please fill out the form below and return it by March 14, 2023.

For security and safety reasons, exhibit movements in or out of the halls during show hours is strictly prohibited

Booth Cleaning

During build-up and dismantling periods, independent contractors appointed by exhibitors are responsible for the removal of their own stand building/dismantling materials and rubbish. Disposal of contractor’s waste materials by the organizer will result in the contractor’s deposit being forfeited.

ISN has arranged for the general cleaning of the public exhibition areas (excluding booths) prior to the opening of the exhibition and daily thereafter (outside of opening hours). It is the responsibility of all exhibitors to keep their own booths clean. Exhibitors can book additional booth cleaning through NCC. Please fill out the form below and return it by March 14, 2023.

CDM-Conference & Destination Management is the official staff supplier for WCN’23. You can book staff for your booth by filling this form and returning to wcn023@cdmthailand.com by February 15, 2023.

Booth Catering

It is possible to order catering for your booth. Catering queries and booking are being processed directly by the venue. To book please fill out the catering form below and return it to sirinapha.suk@qsncc.com or katanchalee.lao@qsncc.com by March 1, 2023. Please note that the venue prohibits external catering.

Giveaways

Gadgets that are distributed to participants should be professional in nature and should not exceed a maximum value of 5 USD per item. Sharp, pointy or dangerous objects are not allowed. The organizer reserve the right to request invoices of the gadgets at any time.

Promotion / Demonstration

Exhibitors are not allowed to place stickers, signs or posters anywhere in the halls other than within their own stand and on paid advertising poster sites and billboards. Likewise, exhibitors’ representatives may not distribute brochures, invitations, etc. along the gangways or near the entrances/exits. This is unfair to other exhibitors and inconvenience to visitors.

Exhibitors who intend to provide demonstrations or make presentations during the exhibition must strictly follow rules & regulations below:

  1. Such demonstration and presentation do not interfere with the conduct of business of other exhibitors in terms of sound, nor cause any smoke or fumes.
  2. Exhibitors are not allowed to place any display materials or exhibits beyond their contracted boundary.
  3. In case of use of loudspeaker for demonstration / presentation in your booth, any loudspeaker must face on to exhibitor’s stand only and maximum volume is 70 decibel my measured from distance of 3 metres away from the booth.
  4. Any promotional activity involving the demonstration of games, organized competitions or quizzes will need an advance permit from the organizer.

Information for Exhibitors with Custom Booths

Exhibitors who opted for customized booth will be given exhibition floor space only, without wall partition, basic furniture, electrical and other facilities. Exhibitors have to design and construct their own booths.

Submitting Plans

You need to submit your customized design to NCC via email to onuma.ler@qsncc.com and thitraphak.pha@nccimage.com by February 15, 2023.

Plans must include the following:

  • Detailed scale drawing with proposed 3D design, detailed dimensions and height including plan views and elevation. Must specific the exact height in elevation view.
  • Description of materials to be used for the stand construction and building methodology.
  • A plan showing its location within the exhibition. Indicate in the plan about underlay/platform especially build it within carpeted flooring.
  • Booth number must be shown on the design
  • A risk assessment, to include fire hazards and method statement.

Guidelines for Custom Booths

Booth boundaries and design restrictions

Exhibitors are not allowed to place any display materials or exhibits, nor extend their stand structures and fittings, beyond their contracted boundary.

  1. Each booth needs to have its own panel and it is not permitted to use the neighboring stand’s panel.
  2. Customized booth exhibitors are required to submit design’s drawing to the Organizer for approval
  3. Permitted stand height for raw space is 4 metres subject to approval of design and layout by NCC.
  4. Logos and branding are not permitted on the rear face of partition walls when these walls overlook neighboring stands and must be properly covered up with suitable material.
  5. Island booths are not allowed to construct full solid wall in all sides.

Any design for a structure exceeding 2.5 metres in height must be submitted to NCC for approval by February 15, 2023 and approval will be given on a case-by-case basis and that design must not disturb neighboring booth.

The Organizer reserves the right at any time to order the alteration or removal of any stand which differs from the approved specifications or which does not conform to the Rules and Regulations. The costs of such alteration and removal shall be entirely borne by the exhibitor and any sums of money which may have been paid by the exhibitors for rent and charges shall not be refunded.

Open frontages: All stands in the exhibition, irrespective of height, must have at least half of any frontage facing an aisle opened or fitted with transparent material to the underside of the fascia if the design so requires.

Obstructing gangways: No part of any stand or exhibit, including fascia, signs, lighting, corner posts, etc. shall project into or over the gangway or obscure any fire or exit signs and the Organizer reserves the right to remove any such item.  It is strictly forbidden to build across gangways.

Important considerations for customized booths

  • Depending on the booth location, all free-standing fittings must be structurally safe and may not exceed the ceiling height of the exhibition hall. In case where a stand design does not comply with the venue’s requirements, venue management will require the contractor to obtain a structural engineer’s certificate to verify the integrity of the structure or compliance with the relevant legislation.
  • Customized structures located on venue’s carpeted flooring must have underlay within the booth area and adequate floor protection before construction starts. Exhibitor/ contractor must lay plastic sheet, corrugated carpet or plywood mat for venue floor protection. Every booth must be properly covered the floor. Only carpet tape or double-sided adhesive textile strips which exhibitor must remove without a trace once the event is over. Companies can order carpet through official stand fitting contractor at your own cost. Please be noted that all floor covering must be removed after the exhibition. Any floor cleaning cost will be charged to exhibitors. It is strictly prohibited to paint or glue on the floor.
  • Exhibitors and contractors must design standard & customized booths, decorations, signages, and advertisements in a proper position as per below conditions:
    • Keep a distance of at least 1.5 m. away from fire exits, fire hoses, fire extinguishers and there must be no obstructions from booth structure, wall, or belongings.
    • Keeping a distance of at least 50 cm. away from wall & partitions.
    • Keeping a distance of at least 3 m. away from restrooms, and QSNCC’s Food &Beverage outlets inside the halls.
    • Hall gangway must be at least 2.5 width

Contractors

Exhibitors may appoint their own contractor for stand design and construction, subject to them being approved by NCC.

Contractors must lodge a deposit of no less than THB 18,000 or USD 630 per stand with the Organizer to serve as Performance Bond/Damage Deposit.  The deposit, calculated at THB 1,000 or USD 35 per sq.m but subject to a minimum of THB 18,000 or USD 630 per stand, by company cheque, bank draft or bank guarantee payable to “ICVeX Company Limited”. This shall return to contractors after event should there be no damage found. In case of damage found, there will be a deduction for services and damages.  Only when this performance bond is received, contractor will be allowed to bring their materials onto the site or commence work.

Exhibitors are responsible and liable for their appointed contractor’s observance of all rules and regulations.

Power Supply and Lighting

All electrical installation work at the exhibition must be carried out solely by official electrical contractor

Exhibitors who require special arrangements e.g. different voltages and frequency or special connections to equipment must arrange for their own transformers, converters, etc.

All electrical equipment must be tested by official electrical contractor prior to turning on the electricity supply.

Full-congress registrations

Companies may receive a number of complimentary full-congress registrations depending on your booking.

Full-congress registrations allow access to all WCN (in-person/on-demand) except pre-congress courses. Full-congress badges will display delegate names.

Exhibitor badges

Companies have a number of badges for their staff to use to access for the exhibition hall only. Exhibitors must wear these in the exhibition hall during congress days.

Exhibitor badges only allow access to the exhibition hall 30-minutes prior and after exhibition opening hours and during specific setup/dismantling hours. Exhibitor badges do not allow access to the scientific sessions or activities. These badges are intended for use only by the company. Only the name of the exhibiting company will appear on these exhibitor badges. Additional exhibitor badges can be purchased at 65 USD per badge.

Contractor badges

For the purpose of stand construction and moving of exhibits, contractor badges will be issued permitting approved contractors and their workmen to enter the exhibition hall during the build up and dismantling period only.

A limited number of standby badges may be issued should a contractor have a valid reason to be present during the exhibition period (e.g., maintenance etc.). For security reasons, contractors and their workmen are to wear their badges at all times when are in the exhibition hall. The collection date and details will be sent out by email.

How to provide names for registrations

A registration group will be automatically created with your complimentary registrations included in your package. Each group will have a main contact who is responsible for uploading the names online. The main contact is taken from the booking form. Please advise us in advance if this should change. It is not possible to change group leaders later on. Please note that all names should be uploaded by March 14, 2023. 

Please check that participant’s names are entered correctly (example format: John Smith).

Any name changes received after the deadline are subject to a fee. These registrations are intended for use only by the company.

How to order extra full-congress registrations

  1. Go to online registration module and click on My Group Registration button
  2. Click on Add Fee button and follow the instructions
  3. Select the registration type and quantity. Click Next.
  4. If you have selected a registration with a fee, you will be prompted to complete the payment.

How to order extra exhibitor badges

Please send your request via email to registrationswcn@Theisn.org before March 14, 2023. In your email please specify the number of badges and the registration group number.

How to collect your badges on-site

Group leaders (or an authorized representative) will be contacted in February to arrange a collection appointment.

The Sofitel Bangkok Sukhumvit is going to be the HQ hotel. ISN will place your design in 2 locations in the HQ hotel. First (1) roll-up banner will be placed in the hotel lobby for the duration of WCN. ISN will take care of producing and placing the roll-up banner.

Insert Delegate Bags

The ISN will place your A5 sized leaflet insert in the delegate bags that are provided to all delegates. Sponsor is responsible for printing and shipping the insert. Please liaise with the official freight forwarder at wim.poels@kristal-logistics.com but please note that leaflets should arrive in Bangkok no later than Monday March 13.

Specification: A5 size. Single or double-sided is accepted.

Push Notification

Push notifications will be sent during congress days to all delegates that are on the WCN virtual streaming platform. Please note that it is limited to 5 notifications per day therefore, schedule will be allocated on a first come, first serve basis. The notification will appear on the top left of the streaming platform and will stay in place for no longer than one minute. Each notification can contain an image and a link (embedded or not).

WCN Map

The map sign will be positioned at the entrance of the exhibition hall. It will also be displayed on the pocket program distributed to all delegates at the registration desk. Sponsor may provide a visual that will be printed on a section of the sign and on the pocket program. Please enquire for specifications or alternative requests.

Meeting Rooms

Companies may rent meeting rooms at WCN. Meeting rooms are availability for the organization of internal and external meetings. Meetings are private and upon invitation only. The room is not open to all delegates by default.

You may only access your meeting room during the time slots below.

Please pick-up your keys at the ‘exhibitor’ registration desk Friday March, 31 from 7:00 – 9:30

Companies take full responsibility at all times for the security of their meeting rooms and the personal and/or venues items in them.

The following guidelines and policies are applied during WCN:

  • Companies are not permitted to organize unofficial industry symposia or similar corporate-organized events that are open to general congress participants to attend, either on or off-site.
  • Small meetings may take place in parallel with congress sessions provided they do not convene large groups of people and are limited in time (no full- day meetings are allowed).
  • Meetings may only be attended by invited participants and may not be open to the general congress participants.

Hospitality suites are provided by the WCN to platinum supporters. Hospitality suites are availability for the organization of internal and external meetings. Meetings are private and upon invitation only. The room is not open to all delegates by default.

For industry roundtables, companies are invited to select 5 experts from the congress’ international faculty available here. The agenda topic is set by the industry partner. If you have booked this item, ISN Team will be in touch to arrange logistics (times, dates, room allocation…) before the congress.
