Dear Colleagues,

 

On behalf of the organizing committee, it is with great pleasure that we extend a warm welcome to you for the upcoming World Congress of Nephrology in the vibrant city of New Delhi, India from February 6-9, 2025. This congress is organized by the International Society of Nephrology and hosted by the Indian Society of Nephrology. Since 2015, both societies have collaborated on kidney care initiatives in India and South Asia to advance regional capacity building through ISN granting programs such as FellowshipsSister Renal CentersEducational Ambassadors Continuing Medical Education and Scientific Writing Courses. In addition, there are now several ISN Regional Training Centers in India and other South Asian countries to facilitate training.

 

The congress is located in the new IICC venue nearby, and with connections to, the gated Aerocity district with an array of hotels and restaurants. New Delhi, with its rich history, diverse culture, and colorful customs, serves as the perfect backdrop for this gathering of 4,000+ delegates from over 130 countries worldwide.

 

The World Congress of Nephrology is a unique event that offers a platform for industry partners to engage with leading clinical and scientific experts from various corners of the globe. Over the course of three and a half days, attendees will have the chance to network, share insights, and collaborate on innovative ideas that can shape the future of global kidney care. The congress will feature over 1,000+ presented posters, 200+ international faculty and six pre-congress courses on a range of high-demand topics.

Exhibitor badges will display company name only and allow access to the exhibition hall during opening hours and during specific set-up/dismantling hours. These badges are intended for use only by the company. Additional exhibitor badges can be purchased at $75 per badge. Exhibitor badge holders are eligible to join for coffee breaks and provided exhibitor lunches (separated from symposia).

Priority Points

WCN’s priority point program recognizes ISN trusted partners over a three-year cumulative basis. Priority points are assigned to companies for participating as an exhibitor and/or congress supporter. Points received during WCN’22, WCN’23 and WCN’24 will determine exhibition hall placement for WCN’25. Eligible companies will be contacted in May via email to receive their ranking and instructions.

Exhibitors who have submitted a booking form by June 7, 2024 will be eligible to avail from the priority point program. On the booking form, exhibitors are prompted to record the first, second and third preferred options of booth placement. During June 10 -14, the ISN HQ will assign exhibition spaces based on these top three preferences and ranking. Exhibitors will receive booth assignment confirmation via email after June 14, 2024.

Industry Sessions

Meet-the-Expert

Meet-the-expert sessions allow delegates to interact with renowned kidney care experts in an informal atmosphere. Each 60-minute session includes 1-2 short lectures followed by an in-depth didactic discussion offering delegates the opportunity for knowledge exchange and first-hand learning on clinical and scientific advancements. A facilitator is recommended. The sessions are limited to 60 attendees.

Industry Symposia

What is included?

  • Your organization’s 60 minute program presented live in a main session room of the congress venue
  • Theater set-up with stage, lectern and speaker table
  • AV equipment and dedicated technical support during your session
  • Eight (8) symposium passes for your staff and faculty to access
  • Session is recorded and available online post-congress for 12 months (Open-access / no paid registration required)

How are symposia shared with delegates?

  • Display of your program flyer in the symposia e-book online
  • Full industry schedule displayed on the WCN website (session title and time/date)
  • Full industry schedule promoted via email and social media before, during and post-congress
  • Your program flyer displayed on venue digital signage

Spotlight Stage


Located in the exhibition hall, the Spotlight Stage is an excellent opportunity to reach delegates in a dynamic manner to deliver presentations through mini-symposia, or showcase your activities/products and services as a product theater. Alongside industry-hosted sessions, the ISN will deliver engaging presentations on the spotlight stage on a variety of topics throughout the day. The sessions are limited to 40 attendees.

  • Full spotlight stage schedule promoted via email and social media before, during and post-congress
  • Your program details displayed on the pocket program, congress website and signage in the venue
  • Two (2) exhibitor badges for your staff and faculty to access

Sessions on the Spotlight Stage are not automatically recorded and made available on-demand for 12-months with open-access, as the industry symposia are. If you would like to arrange this option, the fee is $6,000 on top of the published fees.

Programs

The deadline to book is October 15, 2024. Programs must be submitted by November 15, 2024. The content of industry sessions must be submitted for review and approval by the WCN Congress Organizing Committee (COC) who will ascertain the scientific value of the program. Approval or suggestions for changes by the COC will be communicated and these recommendations must be taken into consideration. There is a max number of speakers / chairs (as with the scientific program). Bookings are handled first come, first serve. As much as possible, we ask that industry symposia programs are diverse from a gender, ethnicity and cultural perspective.

Travel Policy

The travel, accommodation or registration of the faculty participating in industry sessions are not included in the fees. Those participating in industry symposia are not eligible to claim reimbursements from the ISN travel policy for scientific program faculty.

Catering

Lunch is provided for all fully-registered delegates during the main days of the congress. Lunch boxes will be served at the entrance of all session rooms 15-minutes prior to the start of the industry symposia sessions. In an effort to reduce waste and ensure various dietary needs are considered, the ISN will manage catering at lunch and this is reflected in the symposium package fees. Breakfast symposia slots are not automatically catered for by the organizer. Companies hosting an industry symposium during a breakfast slot have the option to organize their own catering at an additional cost. Rehearsal Slots

It is possible to organize a rehearsal slot for industry sessions. The fee is $1,000 USD. Limited slots are available.

Advertising Opportunities

Congress Website

Place a banner on your choice of high-traffic sub-pages of the WCN website. Benefit from extended visibility as banners are seen in the months leading up to the congress until closing of the website – ideal option to promote your symposium. On each page, no more than three ads will loop at a 3-second pace. Sponsor may choose sub-page as long as separate from scientific program information.

Pocket Program

Each delegate will receive a mini program book detailing key information about the congress including the program. Place your own roll-up banner/standee in areas of the 5th floor or 6th floor which will be designated as a promotional area. Banners are limited to three per company.

Why are reference codes used? 

Due to the numerous promotional choices available, each option is designated with a unique reference code. Please use these codes when booking and submitting artwork for a seamless process.

Sponsorship

Charging Points

Branded charging points with your company logo will be made available to allow the delegates to network and relax whilst charging their electronic devices. Charging point is to be located in a high-traffic area.

Coffee & Tea Breaks

In between sessions, coffee breaks will be scheduled for delegates in the exhibition hall. This sponsorship allows your company to brand paper coffee cups used during the break and the opportunity to place a roll-up banner in the coffee break area. Sponsor will be acknowledged in coffee break communications.

Congress Dinner

The ISN recognizes the tradition of special dinner banquets at medical congresses in India. This sponsorship fee ensures official acknowledgment of your event in the congress’s social program, offering the sponsor flexibility to organize the dinner according to their preferences. Please enquire for more information.

Delegate Bag

Enhance brand visibility by sponsoring the official delegate bag. Delegates will be directed to pick up their congress bag from your booth, giving sponsors the flexibility to manage bag ordering and interact with attendees. Sponsors will be acknowledged as the bag provider on pre-congress materials and on-site. Sponsors are responsible for bag procurement and distribution. This initiative supports sustainability by encouraging reuse of bags post-event, extending brand exposure. Delegates can receive their complimentary bag at the registration area or at the sponsor’s booth.

Film Event

This unique initiative raises awareness and improves understanding of the reality of living with kidney disease. The ISN invites the global kidney community to submit short videos that reflect the patient experience or provide education on kidney health. Videos are voted for by the kidney community in the months leading up to WCN with a final special awards ceremony at WCN. In past editions, the ISN has received 25+ videos from 20 countries with over 4,000 votes! Find out more

Hand Sanitizer Bottles

Ensure your brand stands out by supporting the ISN in offering delegates convenient miniature hand sanitizer bottles. Your company name or logo will be prominently featured alongside the congress branding on each bottle, providing a useful and visible way to showcase your partnership. Delegates will appreciate this thoughtful gesture, highlighting your commitment to their well-being and safety during the event. Production and shipping costs are not included. Sponsor is responsible for sourcing and delivery.

Hotel Shuttles

Shuttle buses will transport delegates from the congress hotels in Aerocity to the congress center entrance. Sponsors will have their logos displayed prominently on transportation-related messages, including signage. Sponsors can also place their roll-up banners at the drop-off point at the congress center (which can promote their industry session or booth).

Instant Photo Mugs

Sponsor the instant mug station and have your brand visible even after the congress. Colleagues can capture moments during the event with a professional photographer and have their memories instantly printed on coffee mugs to take home, featuring sponsors logo and WCN logo. As an official sponsored congress activity, the photo station will be displayed on venue maps, email and social media communications and sign-posted during the congress – leading to increased awareness and use. Production included in fee.

Live Translations

To actively engage all participants to sessions and to promote global inclusivity, the ISN is organizing live interpretation service for the scientific program which is delivered in the English language. By sponsoring ISN in providing this valuable service, sponsors can demonstrate their commitment to supporting the global kidney community, giving non-native speakers the opportunity to learn in their own languages. Support will be acknowledged both pre-congress and during WCN in which ISN promotes this service.

Lounge

Delegates can relax and network in the congress lounge during breaks between sessions. The lounge will showcase your company logo, and sponsors can include a QR code for delegates to access their materials. This sponsorship also allows for distributing printed hand-outs in the lounge. Sponsors will receive recognition in pre-congress communications, on-site signage and in the pocket program.

Photobooth

Delegates can capture their WCN memories with peers at a photo booth in the venue, to post their individual and group photos to social media. Sponsor will be acknowledged on photo booth (possibility to provide QR code for display) and acknowledgment on congress materials such as the website and map.

Passport

Delegates are given a congress passport upon which they can collect stamps from various locations of the congress. Passports with a full set of stamps may collect a small gift. With this option, sponsor’s booth will be included as a location on the congress passport encouraging interactions with delegates. Exhibitor will be provided with a stamp and sign indicating your participation in the WCN passport, and will be highlighted on the exhibition floorplan.

Seating Cubes

Allow delegates to take a break and enjoy sitting down while your company branding gains optimal visibility with the seating cubes. This sponsorship enables you to provide a clear message of your support to delegates in an original and practical way. Company logo will be placed on two (2) sides. Cubes will be placed on various levels on the venue in high-traffic areas.

Water Bottles

Water bottles are a sustainable alternative to single-use plastic cups. The ISN will supply reusable water bottles for delegates to utilize and refill throughout the congress. This sponsorship offers enduring brand exposure as delegates continue to use the bottles after the congress, making it a convenient method to enhance brand visibility without the need to manage the service independently. Production and shipping costs are not included. Sponsor is responsible for sourcing and delivery.

Welcome Reception

The welcome reception is one of the highlights of the congress celebrating the start of WCN. The reception takes place after the opening ceremony in the exhibition hall and gives all delegates the opportunity to meet and network. Have your brand seen during this highly-attended event. Sponsors may place own roll-up banners at each entrance (3) with catering stations branded during the event.

Wellness Activity

A dedicated area in the congress with specialists delivering wellness activities is available to all delegates. This improves their overall congress experience and wellbeing. This activity is separated from scientific sessions. Service costs included in fee.

Wi-Fi

Take delegates online as the supporter of Wi-Fi in the venue. The congress will have a dedicated free Wi-Fi connection that will be co-branded. Sponsor logo will feature on Wi-Fi connection page and in selected communications regarding Wi-Fi.

Young Nephrologists Social

WCN is a key opportunity for the young nephrologist members of ISN to meet and network with their cohort. The ISN organizes a social for the cohort to have the chance to connect outside of congress and make long-lasting connections. As sponsor, companies have the opportunity to provide roll-up banner to be displayed during the gathering and logo in thank you cards on tables.

Meetings

Meeting Rooms

Dedicated meeting rooms are available for companies to rent daily from February 6 – 9, 2025. Conveniently located at the congress venue, these meeting spaces offer the perfect solution for your engagements. The rental rates cover 8:30 am to 7 pm from February 6-8, and 8 am – 1 pm on February 9, 2025. Each room is equipped with a pre-installed projector, screens, and sound system. The standard set-up is U-Shape. Water is provided. The deadline to book meeting space is January 10, 2025 but early booking is recommended due to high demand.

The ISN offers support in the organization of industry roundtables, providing suggestions for international experts, managing invitations and room logistics – ready for your colleagues to set an agenda and run the meeting privately. Collegial discussions amongst key opinion leaders (KOLs) are immensely valuable for ISN industry partners. ISN can contribute strong, unbiased expert knowledge and guidance to the advisory community, at regional and international level.

  • Five experts selected by the industry partner from the meeting’s international faculty.
  • Agenda is set by the industry partner.
  • The meeting room is included with audio-visual equipment, refreshments and light snacks.
  • All logistics (invitations and meeting room) will be managed by ISN.

Restrictions

The following guidelines and policies are applied during WCN:

  • Companies are not permitted to organize unofficial industry symposia or similar corporate-organized events that are open to general congress participants to attend, either on or off-site.
  • WCN logo/branding may not be used in ancillary events.
  • Small meetings may take place in parallel with congress sessions provided they do not convene large groups of people and are limited in time (no full- day meetings are allowed).
  • Meetings may only be attended by invited participants and may not be open to the general congress participants.

Payment

All fees in this industry prospectus are listed in USD, and are exclusive of any applicable local taxes. To ensure a transparent and straightforward payment process for all participating companies, please take note of these important invoice steps.

When booking from India, companies can expect to receive an invoice from the congress local partner based on the current exchange rate in INR. It is important to note that local taxes will be added on top of the listed fees. However, for companies booking from a global entity or outside of India, invoices will be issued by the ISN in USD without any anticipated additional taxes. Once a booking form has been received, an invoice will be issued which is payable within 30 days. If you require any special considerations on the payment terms, please do get in touch with us prior to booking.

Terms & Conditions

Terms of Reference

In these terms and conditions, the following definitions shall apply:

  1. “Organizer” shall mean the International Society of Nephrology (ISN), including its volunteers, officers and staff, as well as leadership and staff of the co-host society.
  2. “Participant” shall include the person being described as such in the booking form and all employees and agents of such person and shall, if applicable, also include permitted sub-licensees of the exhibitor.
  3. “Contract” shall mean the contract established between the Organizer and the Participant, upon these terms and conditions, in the Event.
  4. “Event” shall mean the ISN World Congress of Nephrology 2025 to be held in India from February 6-9, 2025.
  5. “Exhibition” and/or “Exhibition Industry” shall mean the exhibition section of the Event.
  6. “Prospectus” shall mean this online sponsorship brochure supplied by the Organizer to the Participant.
  7. “Item(s)” shall mean any bookable item laid out in this document including but not limited to exhibition space, industry sessions, sponsorship, advertising space, meeting space and/or other support relating to the Event.
  8. “Fee(s)” shall mean the amount payable for the Item(s) by the Participant.

Contract, Terms of Payment and Cancellation Policy

  1. By submitting the booking form, the Participant accepts all terms and conditions laid out in the document. All signed booking forms are irrevocable.
  2. Applications must be submitted by the Participant under whose name the Item is to be listed.
  3. Fee(s) for all Item(s) must be fully paid by January 6, 2025. If a booking form is received within 30 days of the Event (i.e. on or after January 6, 2025), 100% of the Fee must be paid by bank transfer at the time of application, and received before the Event.
  4. Failure to pay Fee(s) cancels your booking. No Participant will be allowed to participate or have access to the Event should the payment not have been received by the Organizer prior to the event and within the stipulated deadline.
  5. Any late payment (i.e. receipt of money by organizer 30 days beyond the due date stipulated) will be subject to a penalty of 21% APR (Annual Percentage Rate) on the total amount invoiced.
  6. All partial or total cancellations for Item(s) must be made in writing to the Organizer by the Participant.
  7. The Organizer maintains a cancellation fee of 50% for Item(s) cancelled prior to October 6, 2024. No refunds of Fee(s) will be issued for cancellations of Item(s) received in writing after October 6, 2024.
  8. Should the agreed total amount have not yet been collected by Organizer, the Participant will remain bound to make the appropriate and invoiced Fee in accordance with the preceding timings and reimbursement schedule.
  9. The Organizer is free to assign any cancelled Item(s) to other Participants.
  10. Any refund to be made will be processed after the Event and will be settled no later than August 31, 2025.

Amendments, Insurance and Liability

  1. The Organizer reserves the right to alter the schedule of the Event. Any amendments of the schedule implemented by the Organizer shall not justify partial or total cancellation by the Participant.
  2. The Organizer reserves the right to amend formats of (or elements of) the Event. Any amendments relating to the agreement with the Participant, will be communicated in writing to the Participant. Amendments of formats by the Organizer for activities under the agreement with the Participant, and not deemed appropriate by the Participant shall justify partial or total cancellation and reimbursement of contract value minus reasonable amounts for elements delivered to be decided by the Organizer.
  3. The performance of this agreement by either party is subject to acts reasonably beyond the control of the Organizers (war, government regulations, global pandemic, disaster, strikes, civil disorder, curtailment of transportation facilities, or other emergencies). If such acts make it illegal or else, deemed impossible by the Organizer, to host the Event and deliver the elements under this agreement, the Fees will be reimbursed minus reasonable amounts for elements delivered, decided by the Organizer.
  4. Neither party will be liable for any failure or delay in the performance of the Agreement which is caused by circumstances beyond the reasonable control of the party concerned including without limitation software or issue with the hosting platform, acts of God, pandemic, war or national emergency, acts of terrorism, strike, lockout, fire, explosion, volcanic eruption and flood (“Force Majeure”), provided always that the de-faulting party uses all reasonable endeavors (but without an obligation to incur cost) to minimize the period of disruption caused by Force Majeure.

Eligibility for Conditions of Participation

  1. The Organizer has absolute discretion in the admission of Participants, and reserves the right to decline any application without giving any reason.
  2. The Participant acknowledges and accepts that it will bear the risk that any information and/or not submitted within any communicated deadline, or not submitted using the instructed method may not receive any or all of the promised benefits laid out in the Prospectus.
  3. The Participant acknowledges and accepts that certain benefits relate to communications planned on exact dates, and are therefore, subject to having booked in advance of these planned communications. The benefit will not apply if the Participant books after these dates. The Organizer will make reasonable efforts to suggest an alternative benefit where possible.
  4. The Participant may be required to provide content for benefits for which the Organizer will communicate specifications and deadlines to receive. The benefit will not apply if the Participant does not share content by fixed deadlines.
  5. Further rules and regulations pertaining to the Item(s), in particular Industry Symposia can be found in the manuals and other documents supplied by the Organizer. The Organizer may at any time and from time to time make further rules and regulations (having immediate effect) in relation to any aspect of the Event. Such rules and regulations shall be deemed to form part of this Agreement, and shall be binding on the Participant.

Waiver

No waiver by the Organizer of any of the provisions of these rules and regulations or of any of its rights hereunder shall have effect unless given in writing and signed by the Organizer. The waiver by the Organizer of any of these rules and regulations shall not prevent the subsequent enforcement of these rules and regulations and shall not be deemed to act as a waiver in respect of any subsequent breach.

Termination of Participation

The Organizer reserves the right to terminate without notice a Participant’s right to participate in the Event upon occurrence of any of the following events:

  1. If Participant or any of its representatives commits a breach of any of these rules and regulations; or
  2. If Organizer believes that the Participant is conducting an activity that does not conform to the nature and purpose of the Event or if proper use is not being made of the space; or
  3. 6.3. If Participant is, for any reason, unable to meet his contractual obligations.
  4. If a Participant’s right to participate in the Event is terminated, the Participant shall have no claim for refund of any Fees paid to the Organizer.

Data Protection and Information Sharing

  1. The Participant shall provide the Organizer with their company and contact information which includes, but is not limited to: company name, mailing address, contact persons, titles, phone, email addresses. Organizer is liable to store this data and share with relevant parties strictly for the purpose of Event organization. Organizer shall only share personal details with relevant suppliers to perform necessary planning.
  2. In accordance with the chapter 3 of the European Regulation 2016/679 with regards to data protection, you have the right to request from the Organizers, access to and rectification or erasure of your (personal) data or restriction of processing concerning your data. For such request Participants must contact the Organizers (be aware that a proof of identity will be requested during the process).
  3. The Participant shall not disclose inappropriate information or use any technical or confidential information regarding the business or affairs of the Organizer or any of the other Participants of the Event acquired by way of the Participant’s Contract to participate in the Event.

Resume

These terms and conditions shall be governed by and construed in accordance with the laws of USA. Any disputes or claims arising out of or in connection with these terms and conditions shall be submitted to the courts of USA.

Between WCN Organizers and Commercial and Non-Commercial Exhibitors, Industry Symposia, Organizers, and General Sponsors and Advertisement Sponsors. The World Congress of Nephrology (WCN) is the annual congress of the International Society of Nephrology (ISN). WCN 2025 (WCN’25) is organized by the ISN and hosted by the Indian Society of Nephrology. WCN is an opportunity for commercial companies involved in healthcare to connect with practitioners and specialists in the field. The contribution from companies is, therefore, welcomed by the ISN. The relationship between science and commerce at medical scientific meetings must be balanced and professionally managed. This responsibility lies equally with individual delegates, WCN as organizer, and the participating commercial and non-commercial organizations. WCN has adopted a “Code of Practice” for the commercial and non-commercial organizations participating in the congress. The commercial a nd non-commercial organizations who take part in meetings under the jurisdiction of ISN should plan and conduct activities that will enhance the scientific objectives of the meeting. Commercial activities should not exceed what is deemed acceptable. The following guidelines represent the code of practice adopted by WCN organizers and are applicable to all commercial and non-commercial organizations participating in WCN.

Codes: ISN supports the following pharmaceutical industry codes: the Pharmaceutical Research and Manufacturers of America (PhRMA) Code on Interactions with Healthcare Professionals, the The International Federation of Pharmaceutical Manufacturers and Associations (IFPMA) and MedTech Europe.

Procedure: The following procedures apply to all bookable items included in this prospectus. Bookings are made by filling in and submitting the relevant booking form to the organizer. By submitting the form, the participant accepts the code of practice and all terms and conditions laid out in the document. All signed booking forms are irrevocable. Applications will be dealt on a first-come, first-served basis.

Premium supporters: Participant may agree to a certain level of support, as laid out in this document, which they can allocate towards their choice of exhibition, sponsorship, advertising or industry session opportunities. The participant will be invoiced for the full amount according to the level of support. The participant will need to submit a booking form to confirm agreement with the terms and conditions, for all items selected. If items are selected over time, booking forms will need to be submitted for each choice. The organizer will not refund amounts if the participant does not meet the invoiced level of support with various items.

Industry symposium: All corresponding benefits are only confirmed upon receiving a booking form, full payment and approved program, and providing the client has met all the deadlines which will be communicated in the manuals. All industry symposia programs need to be submitted for review and approval by the congress Scientific Program Working Group chair(s) and the Local Organizing Working Group chair(s). This is to avoid overlap with the official WCN’25 scientific program and to ensure the scientific quality and scope. Once programs are approved, changes must not be made without the specific approval of the above-mentioned chairs. ISN guarantees that all information contained in the program drafts will be handled with strict confidentiality. Program proposals must be submitted by the deadline and must include the symposium title and the full name, title, country, institution, subject, speech time start and end for all chair(s)/ speaker(s).

Industry symposia may not include lectures scheduled for the official WCN’25 scientific program. The ISN does not cover any costs for symposium speakers such as congress registration, participation fee, and faculty speaking in both industry symposia and scientific program are not eligible for the ISN travel policy. ISN and WCN working group members may only speak at a maximum of two (2) industry symposia. The organizer will inform all parties in case of overlap. Conflict must be resolved by concerned parties. The symposium organizer needs to ensure that all publications referring to their symposium mention: “Official WCN’25 industry symposium” to avoid any confusion with the official WCN’25 scientific program. The ISN and co-host logos alone are used only in official congress publications, at events, or in publications officially organized, or approved, by the organizer. The WCN’25 logo may, however, be used on invitations for official industry symposia. Other use of the ISN, co-host, and WCN names and/or logos in any fashion, by any commercial or non-commercial organization, is not permitted without prior written permission from the organizer.
